Scope and who we are
RoleInvite ("RoleInvite", "we", "us", or "our") provides a hiring platform where candidates maintain a reusable private profile, employers create structured roles, and a candidate decides whether to share their profile for a specific matched opportunity.
This policy applies to roleinvite.com, related account-setup pages, and RoleInvite candidate and employer services. An employer may have its own privacy obligations after a candidate deliberately shares information for a role. The employer's separate handling outside RoleInvite is governed by its own policies and applicable law.
02 · Collection
Information we collect
Account information
Name, email address, authentication details, account type, verification status, and security settings.
Candidate information
Professional history, skills, projects, education, certifications, preferences, availability, contact choices, uploaded resumes, and information entered into a profile.
Employer and role information
Company details, hiring contacts, job requirements, working conditions, compensation, interview process, capacity selections, and uploaded job descriptions.
Hiring-process information
Matches, invitations, candidate decisions, role-specific sharing consent, reviews, status changes, deadlines, outcomes, and related audit records.
Communications and requests
Support messages, privacy requests, reports, feedback, and delivery information for transactional notifications.
Technical and usage information
IP and network information, browser and device characteristics, security logs, session activity, error diagnostics, and limited product events needed to operate and protect the service.
Please do not provide information that is unnecessary for hiring or that you are not permitted to share. Where document-assisted extraction is available, extracted information is presented as a draft that can be reviewed and corrected.
03 · Purpose
How we use information
- Create, verify, secure, and administer accounts.
- Build candidate profiles and structured employer roles.
- Check role requirements, preferences, eligibility, capacity, and invitation limits.
- Deliver RoleInvites and transactional account or hiring notifications.
- Record role-specific consent and reveal a candidate only after that decision.
- Manage reviews, deadlines, status updates, outcomes, and hiring history.
- Prevent misuse, investigate failures, maintain auditability, and protect the service.
- Measure public journeys and improve RoleInvite using limited analytics.
- Respond to support, privacy, correction, export, and deletion requests.
- Comply with legal obligations and establish, exercise, or defend legal claims.
We process information to provide the service you request, to carry out choices you make, with consent where required, for legitimate operational and security purposes where permitted, and to meet legal obligations.
05 · Google Analytics
How public analytics works
Google Analytics is enabled by default on approved public and account-setup pages. It helps us understand visits, navigation, registration journeys, and whether basic setup milestones are reached.
Analytics may process a randomly assigned browser identifier, approximate location derived from network information, browser and device characteristics, page path and title, referral information, and selected interaction events. RoleInvite does not send names, email addresses, phone numbers, candidate or employer profile content, resumes, job documents, or ongoing activity inside protected workspaces to Google Analytics.
We may record limited account-setup milestones—such as account type, registration completion, email verification, or first dashboard reached—without attaching the person's name, email address, or profile content. Google Signals, advertising personalization, and remarketing are disabled in our website integration.
You can open at any time to disable or re-enable Google Analytics. Disabling it stops future analytics events from this browser and removes accessible RoleInvite Google Analytics cookies where possible. It does not delete events already received by Google.

07 · Retention
How long information is kept
We retain information for as long as it is needed to provide RoleInvite, maintain the hiring and consent record, meet legal or security requirements, resolve disputes, and enforce agreements. Retention depends on the type of information and why it is held.
- Replaced or removed raw documents: eligible for permanent deletion after 365 days.
- Candidate document-processing records: normally deleted after 90 days.
- First-party product analytics: normally retained for up to 395 days.
- Notification and operational diagnostics: normally retained for up to 90 days.
- Consent, access, capacity, status, and outcome audit facts: may be retained for up to seven years, with direct personal content redacted after verified erasure where appropriate.
- Legal holds: relevant information may be retained until the documented hold is released.
Google Analytics data follows the retention settings maintained in our Google Analytics property and Google's applicable deletion processes. Aggregated or de-identified information that no longer identifies a person may be retained for longer.
08 · Control
Your rights and choices
Depending on your location and relationship with RoleInvite, you may have rights to access, correct, export, or delete information; withdraw consent; object to or restrict certain processing; and appeal or complain to an appropriate authority.
Candidates can update normal profile information directly, pause matching, hide particular employers, inspect role-specific shares, withdraw future access, and submit correction, export, or deletion requests from Privacy & controls in the candidate workspace. Withdrawing role-specific sharing consent prevents future employer access through RoleInvite but does not automatically erase the historical fact that consent and hiring actions occurred.
Anyone can disable Google Analytics through . To exercise another privacy right, use the account controls where available or contact us. We may need to verify identity before completing a request.
09 · Safeguards
Security and international transfers
We use administrative, technical, and organizational safeguards designed to protect information, including access controls, account verification, private document storage, audit records, and operational monitoring. No online service can guarantee absolute security, so you should also protect your password and account access.
RoleInvite and its service providers may process information in countries other than the one where you live. Where required, we use contractual, organizational, or other recognized safeguards for these transfers.
RoleInvite is not directed to children. If you believe a child has provided personal information without appropriate authorization, contact us so we can investigate and take appropriate action.
10 · Updates
Changes to this policy
We may update this policy when our service, providers, or legal obligations change. We will publish the revised policy with a new effective date and provide additional notice when a change is material or legally required.
